Equipment recycling pickup checklist.

A pickup works best when equipment, access, fees and documentation are agreed in advance.

Confirm the actual equipment accepted.

Send models, quantities, condition and photos before scheduling movement. Get agreement on what is collected and what stays. A general electronics or recycling enquiry does not establish acceptance of every instrument, its contents or its accessories. Separate equipment excluded from a purchase from equipment accepted for a recycling project.

Describe contents and prior use.

Disclose known batteries, refrigerants, pressure, gases, chemicals, contamination and other special conditions. Describe what you know rather than making an unsupported clean or harmless claim. Specialist work may need a different provider and a separate scope before the equipment can be moved.

Set data requirements before release.

Identify internal storage, removable media and connected computers. Decide which data must be kept and who can approve sanitization. At Surplus Cascade, data work can be handled directly or through a contractor when agreed; the method and records must be confirmed in advance. An equipment handover is not evidence of completed sanitization.

Agree access, preparation and costs.

Describe stairs, lifts, doorways, loading docks, parking and operating access hours. The premises must be prepared for the agreed work. Identify packing, labor, transport and processing charges, and responsibilities for handling or possible damage. Do not assume collection or processing is free.

Ask for the precise records required.

A pickup receipt, asset reconciliation, recycling record and data-destruction certificate are different documents. State the purpose, assets and responsible provider for any record your organization requires. Surplus Cascade does not promise certificates automatically and may use another recycling company for processing outside its capabilities.

Write the pickup scope in plain language

Record the accepted asset list, site address, collection window, access contact and work assigned to each party. Name any processing and data records requested. If an item is not accepted, keep it outside the pickup list until its route is agreed. This short record helps avoid treating an enquiry photograph as authorization to remove everything shown.

Keep the release list available.

Have an authorized contact present or an agreed release process. Reconcile accepted equipment and keep excluded items clearly marked. Contact us before bringing anything to a location; there is no public drop-off site.

Use the technical equipment recycling page to start a review. For a larger site, also use the facility clearance checklist and data requirements guide.
